Executive Assistant - Human Resources

Key Responsibilities and Duties Keeps official records; prepares memorandums outlining and explaining administrative procedures and policies. Directs preparation of records such as notices, minutes and resolutions for meetings. Acts as custodian of documents and records; directs preparation and filing of legal documents.

Provides administrative, receptionist and office management support, including but not limited to; assigned research, reports, correspondences and letters, transcription and schedule planning.

Prepare edits, and reviews letters and memoranda for final print, distribution and filing ensuring conformance with agency correspondence manual. Organizes and maintains records in accordance with the organizational records retention schedules. Creates spreadsheets and develops and maintains databases as needed for tracking purposes.

Provides information and assistance to public on routine procedures; advises individuals of requirements, regulations and/or policies for obtaining resolution of inquiry.

Utilizes standard computer keyboard to apply various computer or software applications to assigned tasks and to process information.

Reviews clerical records to insure completeness, accuracy and timeliness.

Provides exceptional customer service, also responsible for greeting and directing employees, visitors and vendors.

Knowledge, Skills and Abilities

Competency in performing highly specialized administrative work independently including the composition of letters, memoranda and reports.

Skill in planning, developing and completing complex assignments with minimal direction.

Excellent grammatical, oral, proofreading and writing skills, with ability to express self clearly and effectively in writing as well as on the telephone, through e-mail and in person.

Technologically proficient in business software programs including, Microsoft Word and Excel.

Willingness to learn new technologies as they become available.

Excellent clerical and administrative skills, including accurate and proficient keyboarding skills.

Ability to gather, analyze and present information.

Strong organizational skills, and the ability to make decisions, work independently, and handle multiple priorities.

Ability to maintain fast-paced, active work style.

Accurate judgment in making decision, reorganizing established precedents and in meeting new problems.

Thorough working knowledge of or ability to quickly and effectively grasp and utilize the policies, protocols, systems, procedures, and technical vernacular of the agency, department and County, as they are applicable to assigned duties and responsibilities.

Ability to effectively participate in staff meetings or other forums aimed at developing constructive ideas, observations and insights.

Skill and ability to effectively perform and direct any or all-clerical, secretarial and administrative tasks within the jurisdiction or area of authority designated.

Preferred Qualifications

Possession of a Bachelor’s or higher degree, from an accredited college or university.

Five (5) or more years of professional work experience as an executive assistant/administrative assistant, project manager or paralegal.

Possession of bilingual language skills
