Office Manager / Administrative Assistant

The administrative assistant will work on multiple intermediate to advance tasks and/or services. This responsible position requires independent working and collaborating with many sets of people (management, vendors, partners, service providers).

Responsibilities

- Liaise between internal (IT, marketing, sales, HR, payroll, Finance, Partners, vendors, service providers etc.) groups and external (vendors and customers)
o Communicate, document, and follow-up
o Document and report on a weekly basis
o Create and give basic internal presentations as needed
o Create advanced spreadsheets, flowcharts, graphs, presentations and word documents by request.
o Take and finalize technical meeting notes for technical and non-technical groups.
o Compile, create and maintain technical group metrics including performance data.
o Maintain organizational charts and contact information sheets and disburse as necessary.
o Maintain stock of technical presentations
o Coordinate internal and external work requests.
o Administer, support and maintain various databases.
o Follow-up on all tasks with concerned internal and external team members. Present the report to designated managers and Sr. managers on weekly and bi-weekly manner.

- Technology support:
o Administer, support and maintain various databases.
o Monitor databases, and share reports with concerned team members.
o Support and administer WordPress site changes and updates.
o Help with collaborating white papers and publishing them.

- Writing Support:
o Assist with, compose and proof-read reports and memos.
o Help create PowerPoint from the content given.
o Create and give basic presentations

- Proposal Support
o Proposal Preparation:
 Assist in proposal writing and co-ordination. Keeping track of timelines, actions required, and status updates with proposal writing team.
 Carefully follow proposal submission instructions, implement them
 Package, and deliver proposal to either post office or local clients.
o Complete and submit Information Technology requests.

- Follow-up:
o Follow-up on all tasks with concerned internal and external team members. Present the report to designated managers and Sr. managers on weekly and bi-weekly manner.

Requirements

Skills and Education Requirement:
• Requires a High School Diploma or equivalent
• Requires at least 5 years of experience in an administrative role (Bachelor’s degree and 2 years’ experience acceptable)
• Requires at least 2 years of experience in word processing, spreadsheets and web-based email
• Requires at least 2 years of experience with PowerPoint
• Requires strong verbal and written communication skills
• Requires at least 8 years’ experience with Microsoft office.
• Requires the ability to travel up to 5% of the time domestically
• Requires commute to greater Chicagoland 10%.
• Requires a valid driver’s license and favorable motor vehicle report
• Prefer experience in Visio
• Highly desirable additional skills (one or more):
o Technical writing
o PR - communications
o Computer Science certificate or experience
o Research ability
o Social Media

Note: Combination of education, work experience, and volunteering would be considered towards Requirements.
