Description

Administrative assistant duties and responsibility includes providing administrative support to ensure
efficient operation of the office. You will support management through a variety of tasks related to
organization and communication. The admin job scope includes communicating via phone and email,
receiving and directing visitors, word processing, creating spreadsheets and presentations, and filing to
ensure that all administrative assistant duties are completed accurately and delivered with high quality and
in a timely manner. Extensive software skills, Internet research abilities and strong communication skills
are required.

Additional responsibilities may include processing expense reports, coordinating the submission of
proposals, planning meetings, tracking sales progress, troubleshooting minor technical problems,
maintaining database records, and serving as a liaison between outside agents and management.

Responsibilities

• Screening and directing phone calls
• Making travel arrangements, planning meetings and events
• Maintain contact lists & customer relations
• Produce and distribute correspondence memos, letters, faxes and forms
• Assist in the preparation of regularly scheduled reports
• Develop and maintain a filing system
• Calendar management
• Submit and reconcile expense reports
• Provide general support to visitors
• Maintaining office policies and procedures
• Some accounts payable and receivable functions
• Some marketing functions
• Completing other duties as assigned

Requirements

• Proven administrative or assistant experience
• Research and Information analysis
• Project management inclusive of systems creation
• Knowledge of office management systems and procedures
• Excellent time management skills and ability to multi-task and prioritize work
• Attention to detail and problem solving skills
• Excellent administrative writing and verbal communication skills
• Strong organizational, reporting and planning skills
• Inventory control
• Proficiency in MS Office & Google Drive
• Sensitivity to confidential matters
