DescriptionSUMMARY: Provide high-level administrative support to the Business Development Department and office by creating and preparing various reports, preparing and handling items for new and existing jobs, interacting with the Business Development staff, and performing clerical functions such as preparing correspondence, compiling daily statistical data, expense report tracking, arranging conference calls, scheduling meetings and answering phones.
ResponsibilitiesOTHER SKILLS, ABILITIES, and REQUIREMENTS:
•Strong interpersonal, verbal, and written skills
•Proficiency in English language, both written and verbal is required
•Attention to detail and a high level of accuracy are required
•Proficiency in MS Word, Excel, PowerPoint, SalesForce and Outlook is required
•Ability to work productively under pressure of tight and constantly changing deadlines
LANGUAGE SKILLS: Ability to read, analyze and interpret general business documents, written reports and understanding of company policies, procedures and regulations. Ability to write and correct/edit various reports and business correspondence as needed. Ability to present written information accurately with minimal to zero errors.
RequirementsESSENTIAL FUNCTIONS (Include the following, but not limited to, as other functions may be assigned):
•Maintain day- to- day operations of the office
•Answer incoming phone calls and route each call to the appropriate department or person
•Greet and assist customers and visitors
•Build and create analytical reports utilizing video, alarm and incident data
•Create incident reports for Customers utilizing video, alarm and incident data
•Create Risk Reports for customers
•Produce client proposals
•Distribute mail, faxes and other correspondence
•Create and maintain project budget tracking
•Review and/or complete expense reports for the Business Development staff as needed
•Create spreadsheets to track all purchases made by Business Development (e.g. fuel, food, conferences, travel, etc.)
•Planning, scheduling meetings and training appointments
