We’re seeking to train an aspiring business professional with the skills to effectively and reliably manage the operations, administration and executive support needs of a small but ambitious self-publishing firm.
In this role you will directly support our CEO and executive editor manage all of the day to day operational requirements of our small business. You will be the person who is responsible for fifty different small things that all need to be tracked and completed properly.
You will be our primary interface with excellent accountants, bankers, lawyers, business owners, authors, artists, and advisers, as well as all of our vendors, and you will help manage our communications with all of our prospects, customers, and friends in addition to providing direct support to the CEO and executive team.
ResponsibilitiesGeneral Categories of Responsibilities:
Executive admin support (travel, tasks, and appointments).
Maintaining contacts databases (inputting and updating records).
Managing vendor relationships (make sure they do what they should).
Assisting with contractor payments and expense reimbursement.
Managing events that we host.
Managing executive travel.
Project & task management (keep track of who is supposed to be doing what, when it is due).
Do simple updates to our website using our content management system to post news articles.
Helping to manage our student interns and tracking their hours.
RequirementsRequired Skills, Experience and Attributes:
Currently pursuing a bachelor’s degree in Business Administration, Communications, Marketing, etc.
Experience supporting senior executives
Attention to detail
Strong organizational skills
Very strong project and task management skills -- including the ability to track and manage multiple projects, and deadlines.
Strong verbal and written communication skills -- including proficiency in grammar, editing and proofreading.
Intermediate to advanced skills in Microsoft Word, Excel (or Google Docs and Sheets) and web-based research.
Proven ability to maintain strict confidentiality and demonstrate discretion in communication with others.
Ability to create effective tracking and management systems.
Ability to take the initiative and work with minimal guidance.
Excellent interpersonal skills, including the ability to build and manage relationships with all staff, Board of Directors, key VIPs and prospective customers.
A strong sense of initiative, tenacity, and a love of problem-solving.
