DescriptionWe seek a full-time, part-time, or per-diem Executive Assistant to join its “Family Caring for Families” team. The main job function of the Executive Assistant is to provide support for the executive and business staff. The Executive Assistant will report to the executive and business office staff while assisting with the day to day operations of the facility.
-The Executive Assistant provides assistance to members of the Executive Management staff, primarily the administrator and department heads. Duties may include but are not limited assistance with drafting and managing correspondence; assistance with board activities; booking travel, developing and modifying presentation materials using PowerPoint, and general secretarial support and other routine office functions.
-Assist the company executives in the management of their respective schedules utilizing MS Outlook (planning/arranging events and meetings). Handle telephone calls for the executive from both internal and external sources.
-Provide executive support to the company executives in a variety of capacities including telephone coverage, copier projects, mail handling, supplies control, processing of letters/correspondence, events/meeting planning, report generation, invoice/expense reporting, travel arrangements, database management and assisting with completion of specially assigned projects.
-Work with other administrative personnel to accomplish organizational goals.
-Perform special projects as assigned by the executive officer. Demonstrate the ability to handle multiple tasks with little or no supervision.
-Develop initial or modify existing presentations utilizing PowerPoint.
-General office/secretarial duties including letter/email preparation, copying and filing.
- 0-1 year experience also considerable
- If available,2 + Years previous executive experience required. Prior executive assistant experience strongly preferred.
-Outstanding communication skills, both oral and written.
-Ability to interface well with all departments within the Company and comply with established policies/procedures.
-Demonstrate the ability to communicate effectively and professionally with customers and external contacts to the organization and to represent the respective executive officers in a highly professional manner.
-Possess a high degree of proficiency with MS Office products including Word, Excel, Power Point and Outlook.
-Must be able to maintain the highest level of confidentiality. Ability to discretely handle sensitive material/matters concerning the organization and personnel matters within the organization.
-Demonstrated ability to handle multiple tasks simultaneously. Exceptional organizational skills required. -Ability to meet designated deadlines is also a critical qualification.
