Description

The Executive Assistant will provide a full range of support to the Chairman including scheduling meetings, maintaining calendars, making travel arrangements, processing expense reports and assisting with special projects.
The qualified candidate will have the ability to seamlessly provide a full range of administrative support in a very demanding environment, including scheduling meetings, maintaining calendars, making travel arrangements, processing expense reports, manage house staff and assisting with special projects.

Responsibilities

Responsibilities include but are not limited to:

Proactively manage both personal and professional calendars in Outlook
Arrange and organize internal and external events such as company offsites and corporate functions, answering questions and meeting requests
Manages meeting and event logistics including booking and preparing rooms, audio, creating materials, organizing catering.
Coordinate all domestic and international private travel logistics (jets, helicopters) including flight itineraries, hotel reservations, car service, with personal travel preferences
Serves as liaison between the executive and external/internal clients
Provides a "gatekeeper" and "gateway" role, creating win-win situations for direct access to the executive’s time
Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures
Run personal and business errands
Responds to calls and texts at all times in a timely manner
Anticipate needs and be proactive with solutions

Requirements

Requirements: READ BOLD CAREFULLY

Bachelor’s Degree ,entry level and interns acceptable
MUST HAVE at least 2 verifiable PROFESSIONAL REFERENCES
Thick skinned and able to work through difficult situations and have no issues assisting with medical aspects if the position
Able to work flexible and long hours including late nights, and sometimes weekends
Must have an impeccable attention to detail
A quick-thinker and an adept problem-solver
Able to work in highly demanding environment while being able handle varying personalities and work styles with grace and tact
Must have a high level proficiency in Outlook and Microsoft Office Suite on Mac and PC and handheld devices (iPad, Samsung galaxy)
Strong written and oral communication skills
The ability to independently, manage one’s time and prioritize multiple tasks in order to meet strict deadlines ·
The drive to take initiative, work independently and be accountable while also working as a team player who is collaborative, positive and flexible
