Description

We are seeking for an experienced Office Manager / Executive Assistant to support several members of the Leadership Team. This is an excellent opportunity to be an integral part of a fast growing company, our leadership team has a very busy schedules with nationwide and global travel. We are looking for the right person who has the skills and experience to handle multiple tasks and day-to-day organization within this role

Reporting to the Director of Human Resources, this person will be tasked with conserving senior team's time by answering and making high level calls on their behalf, being a liaison with other key executives and team members as well as clients, making and managing travel arrangements and meetings, and promoting our corporate image through executive communications. Additionally, as the Office Manager, this person will have the exciting opportunity to manage the day-to-day administrative needs of our brand new suite

Responsibilities

Job Duties:

Executive communications – must quickly gain a grasp on the company culture and rhythm and effectively communicate internally and externally
Managing and scheduling travel and meeting arrangements
Office management, keeping large kitchen fully stocked and ensuring cleanliness
Coordinate vendor management
Projects and special assignments as needed
Provide assistance to Buffalo leadership team
Provide Executive Assistance to the COO and CFO which may include schedule/calendar management, email management
This individual must be able to answer calls and respond to requests during non-business hours. (These are often not lengthy requests. Examples include last minute travel reservations or communications for changes in meeting times.)

Requirements

Requirements:

Amazing organizational skills, including organization of emails
Effective oral and written communication
Excellent listening skills and ability to take careful notes when given direction; little follow up should be required when given a task by the leadership team
Must have an executive presence; this individual must have experience communicating with senior executives, must be polished, along with proper manners, language, and communication skills
Ability to handle stress
Ability to handle a fast paced, constantly changing environment
Experience working with people in other locations throughout the US and the world
Previous experience making travel arrangements
Must display high level of discretion regarding sensitive information
Excellent computer skills are required; must have intermediate to advanced knowledge of Microsoft Word, Microsoft Outlook, PowerPoint, Excel, and research skills as well as transcription of notes and knowledge of accounting software
Bi-lingual a plus!
