Who We Are Looking For
Index Exchange is seeking a part-time Office Services Assistant to join our growing New York Headquarters. The Office Services Assistant will be crucial in maintaining an organized and productive work environment while managing various day-to-day tasks for Index Exchange. If you are collaborative, driven, organized, and can manage several projects at once with minimal supervision- we encourage you to apply!
Our recently renovated New York office serves as our strategic, commercial hub and our window into the industry. Located in the Flatiron District, this office houses the majority of our Publisher, Client Services, MarCom and Executive teams. Responsibilities-Keep up with the organization of office cabinets, supply closet, drink fridge, and overall kitchen maintenance
-Process and put away weekly office deliveries of the following: food, drinks and office supplies
-Ensure a neat and presentable work space at all hours of the day by tidying up the conference rooms and organizing shared space
-Keep an inventory of the office food, drinks, cleaning supplies, and office supplies to be placed in weekly order by the Office Manager
-Distribute daily incoming mail and packages to the appropriate parties internally
-Handle other tasks with a can-do attitude as they are requested
-Answer phones and provide relief to full-time reception associate
Requirements-Strong organizational and time management skills including the ability to handle multiple tasks, prioritize, and work independently
-A positive attitude and willing to contribute to the office needs
-Strong interpersonal and customer service skills
