Description

We are looking for a full time administrative assistant/Receptions to answer phones, assist with correspondence, support field staff and offer office support in a fast paced environment. Extensive training in Insurance will be provided at the beginning. Must be a quick learner and be able to grasp insurance related concepts. The ideal candidate will have a pleasant and professional phone voice and also we offer both part time and full time with the same benefits, be articulate and detail oriented, have an innate sense of protocol, good communication skills and a desire to learn and grow.

Responsibilities

Ensures the department is operating efficiently from an administrative perspective.
Creates and coordinates the preparation of reports, analyzes data, and identifies solutions.
Screens incoming calls and inquires to ensure that they are handled in the most efficient manner.
Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
Prepares and edits correspondence, presentations and reports using appropriate software and tools.
Assembles check requisitions, expense reports and other statements for signature.
Coordinates logistics for internal and external meetings.
Manages sensitive issues by exercising sound judgment and interpersonal skills.
Maintains knowledge of and adheres to agency policies and procedures.
Coordinates preparation and submission of timekeeping data.
Manages and maintains active and dynamic daily schedules and travel arrangements.
Researches, prioritizes, follows up and provides recommendations regarding issues, concerns and process improvements.
Maintains database information and prepares spreadsheets to support reporting and analysis.
Delivers exceptional customer service support to internal and external customers.
Maintains and manages filing system (physical and electronic) and storage of documentation.
Supports department with typing, photocopying, faxing and mail distribution.
Other duties may be assigned or required for the performance of this position.

Requirements

Excellent knowledge of Microsoft Office
Friendly and courteous demeanor in person and on the phone
Knows how to work with all levels of an organization to accomplish goals
