We are an international consultancy that provides lots of on-site training and healthcare industry workshops and seminars, webinars, and podcasts using BlogTalkRadio.
This role will coordinate speakers, courses, venues, topics, calendars, and all setup. Some are events that are used to raise brand awareness, some are as a service to clients, some are product demonstrations, and pitch presentations and others are educational. This role will also find opportunities for speakers to speak at national and international events.
Internship may evolve into a full-time position at the conclusion of the internship - based on needs of the company at the time of the internship.
ResponsibilitiesResponsible for assisting event coordinator and speakers to manage events, meet deadlines, review event contracts and budgets, coordinate logistics and materials shipping. Assists with direction and coordination of activities to prepare for the day of the event.
Help event coordinator to manage activities related to event coordination activities.
Coordinate details of events such as conferences, trade shows, sales meetings, business meetings, employee training events and virtual events.
Propose budget calculations and adjust when necessary.
Assist with booking venues and negotiating fees.
Help coordinator prepare invitations, internet advertising, press releases, and send out at appropriate time.
Assist with hiring any necessary service staff.
Work directly with speakers to ensure all requests are met.
Support efforts to drive attendance to the event.
Coordinate social media and other campaigns to promote the event using flyers, cold calling, website, and other ways to spark attention.
Provide support to analyze event performance and prepare metrics presentation.
Propose innovative and creative ways to define company brand through events.
Act as a backup to ensure staff and speaker are adequately prepared for event.
Assist with accounting tasks to pay vendors for their participation in the event.
Assist bookkeeper to provide receipts if needed.
Attend the event when in Denver, to ensure day of event goes smoothly.
Set up meeting venue and coordinate with venue staff on booths, flowers, decorations, and other event decor.
Work with lead coordinator to plan menus, order food and beverage, and hire caterers.
Convey final approval for items such as entertainment and menus.
Work with event sponsors, when applicable.
Coordinate logistics assistance requests as required for speaker hotel, travel, etc.
