DescriptionThe event planners assist with negotiations for space contracts and book event space, arrange food and beverage, order supplies and audiovisual equipment, make travel arrangements, order event signs, and ensure appropriate décor to meet the quality expectations of the agency.
-gather information on each project to achieve quality event productions.
-conduct research, make site visits, and find resources to help staff make decisions about event possibilities.
-create and revise room layouts for each event.
-propose new ideas to improve the event planning and implementation process.
-serve as liaison with vendors on event-related matters.
-assist with managing on-site production and clean up for events as necessary.
-prepare nametags, materials, notebooks, packages, gift bags, registration lists, seating cards, etc.
close out all events as required.
Conference and Convention Planning
-must coordinate corporate meetings and conventions.
-arrange meals, travel, hotel accommodations and activities for the attendees.
-arrange multimedia equipment and room setup and sometimes help put together handouts for attendees.
-work closely with the CEO and board members in brainstorming ideas for the event.
- responsible for implementing the program from start to finish.
-book the venue, advertise, invite attendees, order food, arrange activities, work with vendors and set up the event.
-to solicit sponsorships from major donors.
Responsibilities- Write effective copy, excelling in correct spelling, punctuation, and grammar.
- Use alternate forms of communication (including graphic arts), resulting in improved interactions.
- Edit and proof other team members work and provide constructive feedback
Requirements- Possess skills at initiating innovative ideas, unifying team members, and judging correctly what will appeal to target audiences.
- Prefer challenges that involve communication, are people-oriented, promote networking and socializing, and include roles that call for imagination.
