Description

We are a designer swimwear label seeking an office coordinator to oversee the administrative functions of our office. You will report directly to the company's owners and act as their liaison and assistant. You will be responsible for coordinating and organizing the up-keep of the office and make sure it runs smoothly and efficiently.
Candidate must be sharp, maintain a positive attitude, a self starter, analytical, beyond organized with excellent verbal and written abilities. the right candidate will be maintaining our accounting, bookkeeping and organizational systems to keep the office running smoothly and efficiently.
MUST BE PRO ACTIVE, CREATIVE and ABLE TO DEVELOP SYSTEMS TO KEEP US RUNNING SMOOTHLY.

Responsibilities

-Handling ALL Employee Relations
-Management of ALL Departments
-Daily accounting
-Office Upkeep
-Keeping track of all shipments received by our warehouse and handling late orders and scheduling deliveries.
-Processing all vendor RMA's
-Social Networking Management???? Depends on social media intern
-Maintaining Employee Manuals
-Shipping
-Budgeting office expenditures
-Errands
-Payroll / benefits
-Scheduling meetings / calendar management
-Managing special projects as assigned by the owner.
-Personal assistant responsibilities as needed by the owner.
-Dealing with vendors.
-Making sure shipments are accurate and communicating with vendors / designers on shipping discrepancies.
-Tracking and meetings deadlines.
-All administrative duties and day-to-day operations of the office (i.e. sorting mail, paying bills, ordering supplies)
-Web Work
-Customer Service
-Verifying Orders For Fraud
-Continually checking website to ensure functionality

Requirements

- Experience as an office manager or office assistant.
-Experience in accounting/bookkeeping.
-Must have excellent verbal and written communication skills.
-Proficiency in Microsoft Word, Excel, Outlook & PowerPoint. 9 adobe a plus)
-Excellent calendar management skills (coordinating employee and meeting schedules).
-Must have reliable transportation.
- Bilingual speakers encouraged
