DescriptionAdministrative Assistant in Financial Planning firm in Lodi, CA. Works with advisor and client service managers to support clients and facilitate a welcoming environment. Field phone calls, make client appointments & welcomes visitors. Use client relationship database to record company business phone calls, appointments and documents. Assist client service managers as needed with client documents. Knowledge or education in financial markets helpful. Interest in marketing, database management and client relationships important. Fingerprinting and background check required.
ResponsibilitiesESSENTIAL DUTIES AND RESPOSIBILITIES include the following. Other duties may be assigned.
Answers incoming telephone calls, determines purpose of callers and forwards calls to appropriate personnel or department. Answers questions about organization and provides callers with address, directions, and other information.
Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel.
Creates, memos, correspondence, reports and other documents when necessary.
Open, sort, and deliver mail. Reads incoming material, verifies accuracy, and sorts and codes according to file system.
Stores material in paper form, or enters into client relationship management storage system.
Maintains client relationship database.
Confirmation calls – Answer phones & schedules appointments.
Investment updates – Prepare client files for appointments.
Retrieves materials for qualified personnel upon request.
Searches for and investigates information contained in files, inserts additional data on file records, completes reports, and keeps files current.
Disposes of obsolete files in accordance with established retirement schedule or legal requirements.
Scans materials or copies records, and examines material for legibility.
Implements changes to the filing system when directed to do so.
Performs other clerical duties as needed, such as photocopying and collating.

EDUCATION and/or EXPERIENCE
High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.
Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
Ability to add and subtract two digit numbers and to multiply and divide with 10’s and 100’s. Ability to perform these operations using units of American money and weight measurement, volume, and distance.
Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
