We are recruiting an Intern to join our Project Management Office in our Information Systems Department.

The Project Management Intern provides support and administrative activities for the Project Management Office.

Essential Tasks:

  • Administrative duties including filing, making copies, and set up for meetings.
  • Schedule and organize meetings and PMO events / activities.
  • Update and maintain the PMO website with pertinent content and links.
  • Support and make requested changes to work requests in the Work Tracking system.
  • Track IS projects through various phases of development in the project Dashboard.
  • Create and maintain IS project folders manage electronic media and hard copy project documents.
  • Perform PMO, I/S and external vendor audits of SOX key controls documents for I/S projects.
  • Support PMO tools and templates.

  • Develop the Project Dashboard each year to document and track projects from Initiation to Delivery/Close - based on approved budget for the new year.
  • Document changes to PMO/Intern processes, procedures, and responsibilities.

Description

We are currently recruiting for an Intern to join our Information Systems Department in Louisville, Kentucky.

This position will be assisting the Director, IS Risk and Compliance in managing routine operational activities and maturing the IS risk and compliance program in the following areas. This is a year round internship. Audit:
  • Enter new audit findings into IS Audit Database and on Annual Audit Summary list as they are reported by Internal Audit.
  • Obtain and enter updates into IS Audit Database when reported by process owners.
  • Run monthly reports in IS Audit Database showing open items.
  • Compile quarterly compliance reports for IS VPs.

SOX:

  • Distribute quarterly surveys and track responses.
  • Coordinate and track testing by internal and external audit.
  • Schedule space for external IT auditors when they are on site.
  • Update key control library as SOX controls change.
Legal Holds and Law Dept Requests:
  • Enter legal hold requests on Tracking Spreadsheet.
  • Respond to Law Dept requests re: custodian ID ranges.
  • Set up cases in Discovery Accelerator.
IS Executive Standards Administration:
  • Schedule monthly meetings and gather documents for review from Subcommittees.
  • Prepare meeting agendas, meeting minutes, and monthly scorecards.
  • Post documents on Company intranet.
  • Perform annual reconciliation of scorecard to Company intranet.
Risk Management Compliance website/ IS Compliance Repository:
  • Update website as required (i.e. when new audit reports are issued; when testing dates/document due dates are announced).
  • Maintain IS Compliance Repository (build folder structures; request access changes).
Internal Project Review Committee:
  • Attend meetings when Director, IS Risk Compliance is not available.
Control Review externally hosted data:
  • Assist in review of SSAE16 reports.
  • Participate in technical calls with proposed vendors.
Program Maturation:
  • Assist with building Risk Register (add items from audit reports, departure standards, compliance assessments, and key control gaps).
  • Assist in developing IT Control Library (copying controls from SOX test plans, etc.).
  • Assist in building risk management framework.
  • Assist in mapping controls to policies.

Knowledge/Skills/Abilities:

  • Great reading comprehension.
  • Good writing skills.
  • Positive attitude and ability to work well with others (not afraid to ask questions or take ownership).

Intern - Human Resources

Position Responsibilities may encompass some or all of the following:

1) Organizational Maintenance: Responsible for maintaining data integrity and submitting changes for our HRIS system. Responsible for maintaining org charts for assigned groups.

2) Recruitment: Liaison with recruiting to provided required information for all new hires in order to properly enter them into our HRIS system. Determine rehire eligibility for candidates by working with Legal, Commissions (if in Sales) and looking in our HRIS system. Responsible for maintaining a spreadsheet of current vacancies for your assigned groups (Sales).

3) Performance Management: Audit /monitor the completion of annual performance objectives as documented in our Performance Management Tool. Trouble-shoot issues with tool as needed and/or refer employees to HRdirect when appropriate. Run reports for HR Business Partners and follow up with employee groups to ensure completion. Audit completion of Succession Planning documentation and prepare basic analysis of succession planning feedback. Assist as needed in the Talent Review Process.

4) Compensation (Rewards /Recognition): Audit/monitor the completion of compensation plans in our system. Audit transfers and new hires to ensure documents are loaded for them. Maintain & retrieve job descriptions database. Prepare promotional/off-cycle compensation change forms as needed. Analyze performance management data against compensation data. Retrieve usage reports from the Recognition Tool. Partner with compensation.

5) Other duties as required, including but not limited to:
