Summary: The Marketing Office Assistant is an unpaid longer-term volunteering opportunity responsible for providing administrative support to the marketing department.

Responsibilities

Essential Duties and Responsibilities include the following. Other duties may be assigned.

• Administrative jobs include, but not limited to:

o Entering customer information from postcards and coupons into a database.
o Preparing, labeling and placing hard copy newspaper and ad clippings in notebooks.
o Filing and/or creating files for documents, paperwork, reports and other pertinent papers of the department.
o Ensuring that file binders and/or folders are properly labeled for ease in identification, classification and access.

• Safety responsibilities are, but not limited to:

o Ensuring safe working conditions, working habit, work procedures, methods and processes at all times.
o Identifying unsafe and/or hazardous conditions/practices at work area and reports to supervisor for immediate action.

• Continuously seeks for improvement on work-related aspects.

Supervisory Responsibilities: This position has no supervisory responsibilities

Requirements

Education and/or Experience: High school diploma or general education degree (GED) is required. Some college or AA, BA/BS preferred. A minimum of 6 months in a related experience and/or training, or equivalent combination of education and experience.

Language Skills: Position requires the following: ability to read, identify and classify documents such as clippings, postcards, contracts, news items, coupons and reports; ability to speak effectively with management and employees; able to file alpha-numerically.

Computer Skills: To perform this job successfully, an individual should have Intermediate skill level in Microsoft Office Suite products including Outlook, Word, Excel and a working understanding of a network and shared folders.

Physical Demands: While performing the duties of this Job, the volunteer is regularly required to sit and talk or hear. The volunteer is occasionally required to stand, walk, use hands to finger, handle, or feel and reach with hands and arms. The volunteer must occasionally lift and/or move up to 30 pounds. Specific vision abilities required by this job include close vision, distance vision and ability to adjust focus.

Work Environment: The noise level in the work environment is usually moderate. The Volunteer is also required to observe high level of confidentiality, office protocol, dress codes, must show professional demeanor and tact in dealing with people.
