Hours : M-F 12:00 pm- 5:00 pm

Tech Non Profit currently searching for an experienced Administrative Assistant to work part-time onsite at our Bayside NY office, with growing an exciting community engagement organization. Successful candidates will have excellent customer service skills and must be outcome-oriented. The ability to work with Executives in a fast paced environment with strong attention to detail is essential. You must also be very self-motivated.

We're looking for an enthusiastic, committed, hyper-organized person who is able to help us get started with administrative duties and community engagement. Applicant must have good interpersonal skills, including a warm, thoughtful and respectful style. Must have administrative or personal assistant experience. Administrative Assistant provides administrative and secretarial support to the Operations Manager and various departments, in addition to arranging meetings and conferences, obtaining supplies, coordinating direct mailings and working on special projects. The role deals with a diverse group of important external callers and visitors, as well as internal contacts at all level of the organization.

Great for ambitious college students and tech enthusiasts. Candidate will report to a coworking office space in Eastern Queens area and work directly with Operations Manager.

What You Will Be Doing:

Schedules and organizes appointments, meetings, travel, conferences and department conferences.
Orders all office supplies on a monthly basis, and maintains all equipment such as postage meter, fax machines, and copier.
Establishes, develops, maintains and updates filing system.
Retrieves information from files when needed.
Maintains daily and monthly schedule for all necessary staff to determine location and availability.
Organizes and prioritizes large volumes of information and calls.
Responds to regularly occurring requests for information.
Answers telephone, routes calls, takes detailed messages.
Completes typing and copying as needed for management staff.
Opens, sorts and distributes mail.
Maintains a neat and orderly office and reception area.
Posting & Maintaining Social Media Platforms (facebook/twitter/instagram/google+)
Answering and returning phone calls
Accounting Support: Data entry, preparation of invoices, accounts Receivable collection, reports, using QuickBooks.
Administrative Support: Working directly with team.
Management of Client and Contact Database.
Excellent written and oral communication skills. Good on phone to clients! You must be comfortable with basic business correspondence, and be skilled in proper grammar and proofreading.
Ability to work with a diverse group of people and open to changes as we grow
Reliable transportation/cell phone service
Employment background check and screening required
Able to supervise employees at corporate event.


You are:
Hyper-organized with great communication skills, a good phone manner and clear concise email writing ability, able to keep excellent notes and to-do lists, ask questions as needed, and complete tasks on your own initiative. Highly motivated and resourceful individual. New or recent college graduate preferred with prior office management/exec. assistant experience. Ability to learn quickly and must speak with clients and vendors on the phone to coordinate required tasks. Strong attention to detail.

Required experience:

Receptionist/Admin Asst.: 3 year
High School or GED Equivalence
4 Year College Degree Preferred
Working knowledge of Outlook and MS Office
Valid Driver’s License and reliable transportation
