DescriptionUnder the direction of the Special Events Manager, the Special Events and Fundraising Coordinator will be responsible for providing support as needed throughout all phases of fundraising, event planning and implementation.
The ideal person for this position enjoys working with many people inside and outside of our organization; has the self-confidence to speak to strangers on the telephone; pays attention to detail; is self-motivated; organized; and works independently as well as a member of the team.
•Assist with event planning logistics & marketing-related tasks as needed
•Assist with event logistics with volunteers/staff; set-up & event-day activities
•Use Microsoft Excel to perform event/donor/fundraiser data entry and generate event/donor/fundraiser reports
•Support gift-in-kind items, collection, and tracking
•Attend all planning meetings as scheduled, including Marketing and Stewardship meetings
•Call prospective event attendees and encourage attendance
•Possibly attend corporate meetings, make brief presentations & promote sponsorship opportunities
•Call and solicit prospective event sponsors and gift-in-kind donors (large/small/local companies)
•Assist in preparing for volunteer committee meetings & record minutes as requested
•Arrange for meeting space, room set-up, equipment, etc
•Work on event collateral, including programs, invitations, event newsletter, etc
•Create and maintain documents, including mailing lists (using Microsoft Office programs) for correspondence, reports, notices, agendas, newsletters, etc
•Provide appropriate information regarding donations and fundraising efforts to Development Staff in response to their requests
•Maintain files; duplicate & collate materials; generate mailing labels
The Coordinator will assist the Special Events Manager with the duties listed above. However, depending on schedules and timelines, the tasks may vary. Additionally, because the development and marketing team members work so cohesively, projects may be assigned under the direction of others besides the Special Events Manager.
Events that are planned each year:
•Fall: Awards Dinner
•Late Winter: Tricky Tray
•Spring: Walk With Me & 5K Run
•Others as they are scheduled
Start and End dates may vary depending on schedule/availability.
For Spring Semester:
•January through May
•Main Project will be Walk With Me event (largest fundraiser of the year)
•Prefer 3 days per week, at least 15-18 hours
•College credit only
