Summary: The Front Desk and Filing Volunteer is an unpaid longer-term volunteering opportunity responsible for providing assistance to the Administrative Coordinator of Workforce Development in terms of covering the front desk area while the receptionist is out. Front Desk and Filing Volunteer also assists in filing documents and paperwork of “program participants”.

Responsibilities

Essential Duties and Responsibilities include the following. Other duties may be assigned.

• Covers and assumes the duties of the Front Desk when receptionist is on break and/or unavailable.
• Assists the Playcare Coordinator in:
o Filing documents and/or paperwork to designated participant’s folder.
o Creating file folder for new participant(s) based on “Filing Checklist” as guide and labeling the file, last name first.
o Conducting frequent checking of file cabinets so that “Active Folders” and “Termed Folders” are stored separately in designated cabinets and alphabetically arranged.
o Ensuring ample supply of “Ready For Filing” empty folders for use on all Workforce Development Programs.
o Keeping track of file folders’ condition and do repair jobs or replacement as needed.
o Monitoring availability of “Client Forms” and replenishing them when levels are low.
• Continuously seeks for improvement on work-related aspects.

Supervisory Responsibilities: This position has no supervisory responsibilities

Requirements

Education and/or Experience: High school diploma or general education degree (GED) is required. Some college or AA, BA/BS preferred. A minimum of 6 months in a related experience and/or training; or equivalent combination of education and experience.

Language Skills: Ability to read and classify documents such as case notes, medical reports, etc.. Ability to speak effectively with management, participants, employees and persons from a broad range of backgrounds.

Computer Skills: To perform this job successfully, an individual should have Intermediate skill level in Miscrosoft office suite products including Outlook, Word, Excel and a working understanding of a network and shared folders.

Physical Demands: While performing the duties of this Job, the volunteer is regularly required to sit and talk or hear. The volunteer is occasionally required to stand, walk, use hands to finger, handle, or feel and reach with hands and arms. The volunteer must occasionally lift and/or move up to 30 pounds. Specific vision abilities required by this job include close vision, distance vision and ability to adjust focus.

Work Environment: The noise level in the work environment is usually moderate. The Volunteer is also required to observe high level of confidentiality, office protocol, dress codes, must show professional demeanor and tact in dealing with people.
