Description

To further strengthen and extend its Global Medical Affairs Team, Company BioScience is looking for a Meeting Planner, Medical Events in the Westlake Village, CA office. The managed events are global, external-customer facing and include Events such as Congress Activity (booths/symposia), Advisory Boards, and Investigator Meetings. We are looking for a dynamic and communicative team player who is willing to take the unique opportunity to be part of the expansion of our Medical Operations team in California *Meeting and Project Management of assigned meetings (external Meetings as well as internal Meetings and Trainings) - creating project plans/ timelines, line item budgets, participating or facilitating planning team meetings either face to face or via Teleconference/WebEx, manage and stay within budgets *Logistic Planning for assigned meetings - Including venue or hotel, Audio Visual, Food Beverage, attendee management, registration systems, reporting, budget, air and ground transport, internal approvals, billing, onsite meeting management *Partner and manage Vendors that are involved in the meeting planning or onsite operations and ensure Medical Affairs' needs are met *Work with Congress organizers on housing blocks, registration, manage space and events *Liaise with legal and compliance departments globally to ensure internal compliance and approval steps are completed for all managed meetings within guidelines *Clearly represent client and team member's expectations with a strong customer service focus to ensure operational planning of event is accomplished on time, within budget and in compliance with regulations *Pro-actively respond to any potential challenges with events presenting recommended solutions to clients Qualifications Domestic/International Meeting planning experience required including onsite operations. Advanced knowledge of computers/systems required including skills in PowerPoint, Word, Excel, Sharepoint and Outlook. Candidate should have demonstrated proficiency with online meeting registration tools. Ability to multi-task and independently manage time. Must have strong customer service focus, able to manage deadlines and be detailed-orientated. He/She should possess experience working in a customer-facing role with proved conflict resolution abilities. Excellent oral and written skills required. Project management experience preferred. Education/Experience 5+ years meeting planning experience required. Preferred candidate will have experience with healthcare industry and experience with advisory boards and congresses. BA/BS Degree required. Certified meeting planner (CMP) and/or project manager professional (PMP) credentials recommended.
