DescriptionOakland Garden School is a preschool committed to providing a creative, stimulating and loving environment where children ages 2-5 can engage with the processes of nature through play. We are currently seeking an office manager to support our school’s daily operations by maintaining office systems and performing various administrative tasks. Initially, this will be an unpaid intership for 3 months; following success during this probationary period, the position will become paid.
Responsibilities•Create and actively promote a comfortable and welcoming environment where every family/staff member is treated with dignity and respect, in a friendly, personalized manner
•Anticipate and be responsive to family/staff member needs and requests
•Answer the telephone and emails, providing general OGS department information and responding to parent inquiries and requests
•Create and maintain a streamlined storage and supply distribution system including ordering, distributing, and tracking the distribution of all supplies
•Compile packets for prospective families in advance, attaching appropriate application(s) and information at the request of the OGS Director
•Set up and maintain files on all children/staff members
•Place orders and distribute of all shipping/receiving items including school supplies, snack supplies and all other preschool shipments
•Monitor and assist school population during emergency drills and actual emergencies
•Work with other departments to ensure proper coordination and overall success of OGS and participate in agency-wide activities and programs
•Word processing/duplicating of all school forms, flyers, enrollment information, etc.
•Complete and maintain documentation of billing for tuition, fees, etc.
•Other related duties as required or directed
•Outstanding communication and computer skills
•Proficient knowledge of Microsoft Office Applications
•Working knowledge of QuickBooks a plus
•Ability to handle multiple tasks simultaneously
•Previous experience working in an early childhood environment a plus
