PAYROLL MANAGER JOB DESCRIPTION

POSITION REPORTS TO: Financial Accounting Manager

POSITION SUMMARY:

The Payroll Manager is solely responsible for all payroll and related activities including processing biweekly payrolls, maintaining related records, filing tax reports, processing payroll deductions, preparing accounting transactions and documents, documenting and updating procedures, and preparing special reports for management. The Payroll Manager is further responsible for specific duties related to retirement plans, insurance plans and flexible spending accounts. This is an important position within the Financial Accounting team that will regularly interface with our internal customers (attorneys and other administrative staff) to address their respective payroll questions and concerns.

OVERALL RESPONSIBILITIES:

  • Manage and process bi-monthly disbursement of payroll, benefits and taxes to 300+ employees (exempt and nonexempt) consistent with federal and state wage and hour laws

  • Ensure the processing of new hires, temporary workers, transfers, promotions and terminations is accurate and timely

  • Prepare payroll related journal entries for accounting

  • Prepare certain reports for Retirements Plans, HR, Benefits, Billing and reporting to

    upper management

  • Assist the Accounting team in the preparation of various surveys which the Firm

    participates

  • Prepares schedules and provides necessary information for annual audits of both the

    Firm’s financial statements and the Firm’s various benefit plans

  • Prepares related reconciliations and record keeping for retirement plan loans loans,

    quarterly reports, etc.

  • Communicate actively with employees, HR and Billing to review cross-departmental

    impacts and reconcile data sharing

  • Partner with HR and benefits in implementing best in practice payroll and benefits

    procedures and controls

  • Evaluate enhancements to reporting processes/tools by gaining a thorough working

    knowledge and understanding of various software applications

  • Assist the Accounting team in planning and setting the compensation budget during

    the annual budget process

  • Manage regular preparation of relevant management reports, including weekly, monthly, quarterly and year-end reports (gross payroll, hours worked, vacation accrual, tax deductions, benefit deductions, etc.)

  • Maintains employee confidence and protects payroll operations by keeping information confidential

  • Perform monthly reconciliation of assigned balance sheet and bank accounts

  • Complies with federal, state, and local legal requirements by studying existing and

    new legislation; enforcing adherence to requirements; advising management on

    needed actions.

  • Other projects and duties as may be assigned from time to time

    REQUIRED SKILLS/QUALIFICATIONS:

    • Skill requirements include an in-depth knowledge of payroll systems (ADP Workforce Now v10 a plus), problem solving, and sufficient knowledge of accounting theory and systems to understand the relationship between payroll and accounting.

    • Proficient in MS Excel

    • Excellent organizational skills

    • Professional demeanor and strong customer service orientation

    • Able to work proactively as a self-starter and multi-tasker to add value to the team

      with limited supervision

    • Assesses and interprets customer needs and requirements

    • Strong focus on quality and accuracy

    • Ability to effectively meet timelines in a fast-paced environment

    • Flexible to work overtime as required to meet agreed upon deadlines

    • Excellent interpersonal, written and oral communications skills, as well as tact

      and diplomacy sufficient to gain the respect of attorneys and employees

    • Constantly looking for areas of opportunity to add value to their position and be a

      team player

    • Knowledge of Aderant Expert (or similar financial system) a plus but not

      required
      SUPERVISORY RESPONSIBILITIES:

      • No direct reports.

      EDUCATION AND EXPERIENCE REQUIREMENTS:

• Bachelor’s degree (Accounting/Finance a plus but not required) plus 4 to 5 years of experience in which applicant had responsibility for all aspects of payroll processing and reporting

MENTAL/PHYSICAL/ENVIRONMENTAL REQUIREMENTS:

  • Indoor offices with controlled temperatures with limited exposure to noise, dust, chemicals

  • May sit for long periods of time

  • Crouching, kneeling, standing, walking, pushing, pulling and lifting occasionally

  • Operating a personal computer, telephone, voicemail and other office equipment regularly

  • Must be able to express and exchange ideas by means of the spoken word

  • Must have the ability to convey detailed information in a clear and concise manner through spoken word

  • Must demonstrate good problem-solving skills

    FLSA STATUS: Exempt
    HOURS—FULL TIME: 9 am–5:30 pm (one-hour lunch), Monday–Friday
