Position Summary: Responsibilities will include assisting the Engineering and Certification department. Perform clerical offices duties such as filing, word processing, excel spreadsheets and records updating. Provide administrative assistance to all Certification, Engineering and STC project related data and documentation and administrators. Primary Responsibilities: Data Entry 40% * Provide assistance to Engineering management as required for STC file maintenance, copying and other clerical duties including filing and data entry. * Performs clerical tasks, such as arranging letters, memoranda, invoices and other indexed documents according to an established system. Operates office equipment and completes general office work. * Functions and uses word processing, spreadsheet and presentation software. Records Management 30% * Responsible for managing, organizing, and securing electronic data, documents, files, and records in the AHI Engineering and Certification SharePoint sites. * Provide administrative assistance as required to support Engineering and Certification projects to the STC Administrators, Project Administrators or other management as requires. Administrative Assistance 30% * Provide administrative assistance to Engineering management as required for expense reports, travel requirements, invoice coding and other clerical duties. * Ability to learn new software applications quickly and accurately. Follow, apply and help execute desktop procedures for documentation and training . Perform various tasks such as, but not limited to, scan, notate, index, import, access, print, compile and distribute technical data to appropriate departments/persons. Must be able to communicate problems effectively Additional Responsibilities: * Other duties as assigned. Qualified Experience / Skills / Training: Education: * High School diploma or equivalent and currently enrolled in college. Experience: * Responsibilities will require resourcefulness, organizational skills and the ability to coordinate activities across company functions. Organizational information: * Reports to Sr. Manager, Engineering/Certification Projects ODA-LA Nature of Contacts: * Moderate communication on a frequent basis with internal parties only Physical Requirements: * Onsite: 100% as allowed by school schedule * Vision: Daily able to see and read computer screen and other electronic equipment with screens, able to read documents, reports and engineering drawings. * Hearing: Daily able to hear to participate in conversations in person and via teleconference or phone and to hear sounds on production floor including safety warnings or alarms. * Speaking: Daily able to speak in conversations and meetings, deliver information and participate in communications. * Equipment Operation (personal computer, telephone, copies, fax machine, and related office equipment and using electronic identification card to enter building floors and internal doors): Daily able to operate most office and personal electronic equipment and some tools including production tools such as hydraulic lifts. * Carrying: Daily able to carry documents, tools, drawings, electronic equipment up to 30lbs/14kgs. * Lifting: Daily able to lift documents, tools, drawings, electronic equipment up to 30lbs/14kgs * Pushing / Pulling: Daily able to push and pull small office furniture and some equipment and tools * Sitting: Daily able to sit for long periods of time in meetings, working on computerSquatting / Kneeling: Daily able to squat or kneel to retrieve or replace items stored on low shelving. * Standing: Daily able to stand for discussions in offices or on production floor * Walking (include routine walking such as to a shared printer to retrieve documents): Daily able to walk through office and production areas including uneven surfaces.
