The mission of the Foundation is to inspire donors to invest in the LSU Health Sciences Center - New Orleans and its future and to properly steward those contributions, and to help meet the ever evolving needs of the LSU Health Sciences Center - New Orleans by providing new philanthropic and business resources, partnerships, programs, real estate and property leases, auxiliary businesses and other services that support and strengthen the educational and community mission of the LSU Health Sciences Center. Internship Summary This position represents an exciting opportunity to join a dynamic team that supports and strengthens the internal capacity of a high-impact, innovative, non-profit organization that serves to benefit, support, and enhance the development efforts for LSU Health Sciences Center New Orleans. This internship role is responsible for supporting the operational, administrative and logistical services of the Foundation. Working closely with the Development Team, among other departments, the Assistant will be responsible for supporting smooth day-to-day operations of the Foundation, compliance and data management. Student Assistants will be assigned to staff for direct supervision and management of day-to-day duties. These internships may be designed as part-time or temporary employment to both support the students schedule and the Foundations staffing needs. -Under general direction, supports the activities and operations of the administrative services function which includes: administrative support and reception, conference room preparation, troubleshooting, phone, and mail services -Organize, research and scan documents from paper to electronic databases and filing for Development, Donor Relations, Database Management and Finance -Research of donor records -Make phone calls as directed -Serve as a point of contact for visitors and guests of the Foundation -Contributes to the Development Team by completing other projects and assignments as assigned -Inventory equipment, merchandise, material, or supplies in stock and posts totals to inventory records; maintaining an organized shared space -Sorting incoming mail and electronic communications by department, receiving incoming packages, and assembling packets for mailing projects -Preparing documents for new employees or change of hardware including; office supplies, technology, phones, and hardware -Responsible for maintaining and auditing internal and external directories and mailing lists for Development and Administration -Preparation of Conference Rooms including set up and tear down of furniture, preparation of snacks and waters, and customer service to participants -Monitoring events to take care of last-minute request, or trouble shoot technology (as needed), and solve problems as they arise -Understand audio-visual equipment and be able to trouble shoot simple technology requests -Maintenance and monitoring of appliances such as, coffee machines, water machines, and refrigerators -Maintain facilities responding to staff requests, as needed Other general administrative duties may be assigned to this role on an as needed or project basis. Level of Supervision: Receives moderate supervision and general direction as to goals and achievement of those goals. Evaluated based on the successful achievement of goals. Qualifications -Full-time student status at an accredited college or university -Available to work up to 20 hours a week between 8:00 AM and 4:30 PM, Monday through Friday -Available to work up to 40 hours a week during holiday breaks and summer months -Computer proficient (Office 365 including MS Word, Outlook and Excel), including scanners, copy machines and faxes -Detail oriented and organized -Excellent communication skills -Ability to handle confidential matters -Stable work history and stellar references -A professional, polished demeanor Applicant Instructions -with the subject line reading Student Assistant Internship.
