Program Assistant for Skilled Trades, STEM, Arts and IT Salary See Position Description Location Arapahoe County, CO Job Type Full Time Department Colorado Community College System Job Number GJA-299811-06/19 Department Information GJA-299811-06/19 _ NON-CLASSIFIED Description of Job Program Assistant Skilled Trades Are you highly organized and proficient in Microsoft applications? Do you possess effective communication and analytical skills to support internal and external coordination of office activities? Are you knowledgeable in assisting with the development of procedures and identifying new approaches to business processes? The Colorado Community College System (CCCS) is made up of 13 unique colleges with over 40 locations across the state, educating 137,000 students every year. This position works directly with STEM, Arts, and IT Program Director, Skilled Trades and Technical Sciences Program Director, TSA State Advisor, and SkillsUSA State Advisor on items related to program management and student conference logistics with a focus on program organization and accounting processes. Duties and responsibilities of the position include, but are not limited to: Establishes office procedures and coordinates flow of work by identifying, prioritizing, evaluating and choosing the most efficient way to complete written and verbal assignments. Provide assistance to STEM, Arts, and IT Program Director, Skilled Trades and Technical Sciences Program Director, TSA State Advisor, and SkillsUSA State Advisor by maintaining calendar, meeting set- up, websites, travel reservations, and reports utilizing MS Office applications (Word, Excel and PowerPoint). Update System CTE records and databases. Provides administrative support for and at the TSA and SkillsUSA State Leadership Conferences. Reviews contracts, invoices, travel expenditure reports, and procurement card charges, prior to submittal for payment, for discrepancies in computation and appropriateness under state fiscal rules and regulations. Prepares and submits Approval Request Forms and insures official function forms are completed and attached where appropriate. Makes all necessary travel arrangements. Reconciles Banner account statements monthly with copies of invoices, statements, travel expenditure reports and procurement card receipts (for self, program directors, and State CTSO Advisors) and resolves conflicts with vendors and the Fiscal Dept. Track expenditures for Perkins Leadership grant and advise Program Directors on incurred expenses. Plans, arranges and coordinates advisory board/ council/committee meetings and teacher-training workshops by using written contract procedures. Locates and reserves meeting facilities, maintains current database records for appropriate constituencies, dispatches invitations, tracks RSVPs, contracts with catering vendors for food requirements, and procures necessary equipment. Photocopies all necessary materials. Takes minutes. Coordinates Regional Meetings around the state including database registration, compilation of handouts and packets, and reconciling expenses. Minimum Qualifications, Substitutions, Conditions of Employment & Appeal Rights Education Requirements Associate's Degree preferred. Relevant education and experience in the appropriate area may substitute year-for-year for the required degree. Experience Requirements Two years of related/clerical experience, including proficiency in utilizing Microsoft Office Word and Excel. Demonstrated public contact experience preferably in an educational setting or large organization. Experience explaining policies and procedures. Experience entering information into a database. Supplemental Information Preferred Qualifications Experience using Photoshop and InDesign preferred. Quickbooks or other accounting software experience preferred.
