Executive Assistant (Temporary) Accreditation Association for Ambulatory Health Care - Skokie, IL Temporary$22 - $26 an hour Save Skills * Excel * Personal Assistant Experience * Administrative Experience * Project Management * Microsoft Word This temporary full-time position provides administrative, clerical and project support to the AAAHC Executive Office while also supporting the SVP, Marketing & Business Development (MBD) and Assistant Dir, Governance. The individual in this role conducts basic research and follows-up on information requests, and performs clerical functions including preparing correspondences, managing calendars (i.e., arranging conference calls, scheduling meetings), completing expense reports, and taking meeting minutes, as requested. President & CEO Primary Administrative Support. Provide administrative and clerical support to the office of the CEO including: * Manage CEO calendar and work with CEO to understand and anticipate needs. Draft meeting agendas and compile documents as required * Research, prioritize and follow-up on incoming issues addressed to the CEO including confidential concerns. Recommend appropriate course of action including drafting correspondences as requested * Facilitate communication between CEO and staff units with consideration for CEO schedule, priorities, and expectations * Arrange CEO travel plans and prepare travel itineraries; provide support to the CEO during Board and other meetings as requested. Complete and submit CEO expense reports Governance Support. Provide administrative and clerical support to the Governance unit including: * Assist with preparation of meeting materials for Board and other Governance Unit calls/meetings; draft agendas, meeting materials, and meeting minutes * Assist with pre-event and onsite logistics for August Board meeting including hotel reservations and travel assistance * Maintain the Governance unit resource center and archive including: staff liaison calendar, all related resource documents, final GU meeting minutes, staff liaison responsibilities list, con call numbers; follow-up with staff liaisons to ensure timely completion of minutes * Maintain the monthly Board Dashboard coordinating updates and format changes with Senior Leadership and others Marketing & Business Development (MBD). Provide administrative and clerical support to the SVP, MBD including: * Manage SVP, MBD calendar and work with SVP, MBD to understand and anticipate needs; arrange travel plans and prepare travel itineraries; complete and submit SVP, MBD expense reports. Draft correspondences as requested All Staff/Senior Management Liaison * Schedule and assist in coordinating senior leadership and All Staff meetings including: facility set-up, IT/AV requirements, agendas, presentations, meeting materials, meals, etc. QUALIFICATIONS: * At least 5 years experience in advanced administrative support * Effective time management; ability to multi task on projects with differing timelines * Strong organizational and project management skills * Good communicator both written and orally * Pro-active problem solver with strong-decision making capabilities * Discrete; ability to manage confidential information appropriately * Emotional maturity with ability to build strong relationships with senior staff, Board leadership, and external partners * Client-service oriented; calm under pressure * Demonstrates considerable judgment in analyzing problems, developing recommendations, and pursuing action * Operates with a high degree of autonomy; effective decision maker Advanced proficiency in Microsoft Office tools (WORD, PowerPoint, Excel) * Travel: only one local trip anticipated for weekend attendance at Board meeting in August * Requires participation in evening conference calls (monthly) Job Type: Temporary Salary: $22.00 to $26.00 /hour Experience: * Executive Assistant: 1 year (Preferred) * administrative assistant: 5 years (Preferred) Work authorization: * United States (Preferred) Work Location: * One location Employment Length: * 1 - 3 months Save
