Duties and Responsibilities
Work directly with the human resources managers regarding all HR endeavors
Maintain the firms HR calendar and schedule any meetings the HR managers require
Assist in the hiring process of employees: includes scheduling interviews, verifying work-history and references as needed, completing and submitting background check information, and entering new employees in HRIS
Help with onboarding procedures: including organizing employee onboarding, creating new employee files, and ensuring all necessary paperwork is properly filled out and submitted, scanned, and filed.
Organize, maintain and update employee HRIS information as needed
Track benefit changes including health care, retirement, HSA, etc.
Run benefits reports to support the payroll process
Prepare materials and help organize employee performance reviews
Support employee termination procedures including preparing paperwork and tracking completion of termination activities
Make sure all employee records are filed correctly and kept confidential
Under the lead of the HR managers, be a vital source of human resources information answering any questions employees may have
Review employee e-files (ensure all documents are filed appropriately and accurately)
Review HSA administration (ADP goals, employee/employer contributions)
Review Discovery provider feed to ADP for FSA and Transit accounts
Gather data from ADP for the 401k plan with Schwab
Review archived and current I-9 files
Review and update new hire paperwork
Requirements and Qualifications
Comfortable working in a highly visible role
Highly organized and efficient worker; skilled at multi-tasking
Willing to take initiative and work independently when needed
Executive Admin and/or HR Coordinator experience
Bachelors Degree preferred
Strong skills using Microsoft Suite
Relevant experience in HR work (HR Coordinator, Benefits administration)
Experience using HR software and HRIS databases
HR competence and knowledge of HR process and computer programs (ADP experience a plus!)
