Read CU Anschutz Quick Facts here Position Emphasis: Due to our continued growth, we are recruiting for an Event Coordinator for the Office of Advancement at the University of Colorado Anschutz Medical Campus. This position is responsible for the full execution of alumni engagement opportunities. This position will work with both partners in Alumni Relations, Advancement and other areas of the Schools and Colleges, to identify alumni activities that meet identified strategic priorities and take ownership of the planning, preparation and execution of the engagement activities, 20-30 events per year. The Event Coordinator will serve as the point of contact for all events that involve alumni as the primary audience. They will be responsible for vision and creation of a budget request to support proposed engagement activities to the Assistant Vice Chancellor for External Relations and/or Senior Director of Alumni Relations. This position will manage all aspects of the event, including research of best practices on how to run the activity effectively, production of all materials for the event (including content creation and design input), creation and management of the event budget, management of the online registration system and acceptance of payments in accordance with fiscal policies, negotiation of contracts with vendors, management of vendor relationships beyond contract completion, coordinate and maintain healthy working relationships with vendors including, but not limited to: caterers, florists, print shops, community members, and department/unit representatives, management of on-site production of the event and post event details, coordination and management of event volunteers (including training), development of briefing materials for leadership and analysis of the success of the activity. The Event Coordinator will manage email administration, event processing, client services support, web content, communications and branding for alumni engagement opportunities. They will lead or delegate the distribution of event invitations, newsletters and event communications. This position will be responsible for capturing event data in Advance and/or SalesForce for the creation and analyzation of reports. They will collaborate with Central Advancement Services to establish reporting templates, criteria and data inclusions to measure year-over-year engagement. These reports and data will review and analysis of trends emerging from engagement opportunities. They will draft predictions for successful engagement opportunities or areas of improvement to be shared with the Assistant Vice Chancellor for External Relations and/or Senior Director of Alumni Relations. The Event Coordinator is a key member of the Alumni Relations team. They will be responsible for leading planning with the team in coordination with communications, donor relations and campus schedules and assisting with determining the capacity for the number of events produced each year. This position will be a partner in identifying activities that best meet the goals for Alumni Relations. Salary and Benefits: The hiring range for this position is $48,000 to $55,000 and is commensurate with skills and experience. Your total compensation goes beyond the number on your paycheck. Minimum Qualifications: * A bachelors degree from an accredited institution. * 2-3 years of professional experience in event planning and/or event support. Substitution: A combination of education and related technical/paraprofessional experience may be substituted for the bachelors degree on a year for year basis. Preferred Qualifications: * 3 years of professional experience in higher education (or a comparably complex organization), alumni relations, development, stewardship, advancement services or related field. * Experience planning high profile events focused on alumni community building and increasing awareness of the priorities of the campus ranging in size from 5-500 attendees. * Experience working in development, non-profit and/or healthcare industries. * Experience with online event registration including ticketed events. Competencies: * Ability to communicate effectively, both in writing and orally. * Ability to establish and maintain effective working relationships with employees at all levels throughout the institution. * Outstanding customer service skills. * Demonstrated commitment and leadership ability to advance diversity and inclusion. * Ability to manage all aspects of event planning and related finances, * Ability to track and manipulate event data
