11400000 - OR-BIOTECH DEVEL INCUBATOR University of Florida, United States Updated: about 8 hours ago Location: Gainesville, FLORIDA Deadline: 18 Jul 2019 Classification Title: Administrative Support Assistant II Job Description: This non-exempt Administrative Support Assistant position is located at one of UFs satellite sites, the Sid Martin Biotechnology Development Incubator in Progress Corporate Park in Alachua, Florida, 15 miles north of campus. This hourly employee is the first one seen by all who enter the Incubator and is required to be professionally dressed and courteous at all times. Punctuality and maturity is extremely important since this person is expected to be ready to answer phones and greet visitors by 8 am each morning, Monday-Friday.. A team player that is able to work and assist fellow staff and most importantly the clients is a necessity. The incumbent must demonstrate proficiency in general and moderately complex administrative functions within the Sid Martin Biotechnology Development Incubator (BDI). Receptionist Greet client company and program visitors Assist visiting sales reps: Respond to routine questions or issues regarding policies, procedures, and processes and ensures compliance with BDI standards. Use multi-line phone system Maintain employee photo board and news board; Prepare and update PowerPoint slides for lobby displays Daily opening including TVs, making coffee, straightening up lobby Secretary Maintain accurate filing system Create/ update communication distibution lists in Outlook, Constant Contact and Excel Order and maintain inventory of program office supplies Maintain client IDs in UF Identity Register Other administrative support as requested Typing for staff as needed Program Support (includes direct service to client companies) Make conference room reservations; post reservations daily Use and assist client companies with use of office equipment Handles mail and package deliveries Coordinates scheduled networking socials and workshops (average 3x per month) Obtain or create email invitation for events Order food supplies and pickup as necessary Order and pick up from Sams and Publix for events Set-up and clean-up for events Housekeeping Keep refrigerators, kitchens and coffee area cleaned and stocked Expected Salary: Commensurate with education and experience Minimum Requirements: High school diploma or equivalent and four years of relevant experience. Preferred Qualifications: Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience. Attainment of a score of at least 35 cwpm on an approved typing test. Experience with Outlook and multi-line phone system. Word processing skills required. Professional manner and good customer service skills essential. Proficiency in general and moderately complex administrative functions. Ability to cross process and prioritize tasks a must.
