Job Overview

Michael Maltzan Architecture is seeking a highly motivated administrative receptionist to join our Los Angeles office. Candidate must possess excellent written and verbal communication skills as well as coordination and organizational skills. The candidate should have the drive to work in an intensely collaborative and creative architectural environment.

Responsibilities

  • Answering phones and greeting clients and guests.
  • Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary.
  • Manage complex and ever-changing calendars and coordinate meetings.
  • Handle detailed travel arrangements, including flights, accommodations, and itineraries, and prepare expense reports.
  • Preparing outgoing mail and courier packages.
  • Ordering / restocking kitchen supplies and maintaining a neat and orderly kitchen.
  • Ordering and setting up catering for meetings and running errands as needed.
  • Maintaining architectural library and ordering material samples for projects.
  • Assisting Architects and Designers with various project-related administrative duties including preparation of letters, spreadsheets, proposals, specifications, etc.
  • Support marketing and business development efforts including RFPs, RFQs, interviews, presentations, and related content.

Requirements

  • Excellent written and verbal communication skills with the ability to communicate effectively across all levels of an organization.
  • Strong editing and proofreading skills.
  • Experience in Adobe Creative Suite (InDesign, Photoshop, Illustrator) is preferred.
  • Proficiency in MS Office including Microsoft Word, Excel, and PowerPoint.
  • Ability to maintain focus and confidence under tight deadlines and varying workloads.

Compensation

Salary commensurate with experience. Benefits package includes medical, contributions to dental and vision, flexible spending account, 401(k) plan, paid vacation, paid holidays, and paid sick leave.
