Our Client is looking for an Executive Assistant that will be responsible for providing administrative, organizational, and logistical support  the CEO of a Financial Services firm (industry experience is not required). In addition, the candidate may be tasked with providing minor office managerial duties. The ideal candidate will be experienced in handling a wide range of key administrative, research, and executive support related tasks, be exceedingly well organized and flexible, scrupulous with time management, and enjoy being part of a rapidly-growing entrepreneurial environment. This individual must be able to function effectively, and within a timely manner, in a dynamic, fast-paced environment under minimal supervision. The ideal candidate will also be tech savvy. 

Job Description

  • Creating a warm and welcoming environment via Industrious hospitality initiatives
  • Resolve internal and external-facing issues with professionalism and patience
  • Inputting and maintaining accurate data across various platforms
  • Completing a broad variety of administrative tasks for Executives including, but not limited to: scheduling and calendar management, completing certain expense reports, performing occasional research, composing and preparing potentially sensitive and/or confidential correspondences; selecting and booking restaurants for lunch and dinner appointments; arranging travel plans, itineraries, and agendas; compiling documents for travel-related meetings
  • Fill out administrative forms for our new location openings, requiring coordination with various internal departments as well as local government entities across the Industrious network
  • Receiving and fielding all initial and ongoing requests for meetings, and following through in a polite, timely manner, while working with aforesaid executives or using best judgement to prioritize their time
  • Providing logistical and technical support for internal meetings including booking and preparing conference rooms; organizing requested food and beverage catering; greeting guests according to hospitality standards; collating, preparing and distributing meeting materials; and providing AV and clerical support during meetings
  • Assisting in establishing a bridge for smooth communication between Executives and company-wide staff; demonstrating leadership to maintain credibility, trust, and the ability to represent company values
  • Proactively anticipating the administrative and personal needs of the executives, offering collateral support such as organizing catering or meals for executives
  • Occasionally perform personal errands and special projects for Executive staff

Qualifications

  • Ideally previous experience as a C-Level Executive or Administrative assistant
  • Proactive mindset to anticipate and execute degrees of support against a complex work environment
  • Excellent time management skills and ability to multi-task and prioritize assignments
  • Attention to detail and inventive problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills in a fast-paced environment
  • Proficient with Microsoft Word, Excel and Powerpoint
  • A plus if you have experience with Concur, Slack, Dropbox or G Suite.
