Major investment banking firm seeks roadshow assistants for exciting contract role
ONSITE IN NEW YORK CITY
2 years or more experience in working on domestic and/or international non-deal roadshows, corporate access, or relevant experience within investment banking. Has strong admin. background or research assistant, has great attitude and highly organized.
Conferences & Events and Roadshows. The Roadshow Team is responsible for managing the logistics of transaction related (deal), investor relations (non-deal), and access roadshows and presentations. The team supports Corporate Client Solutions (CCS) and Institutional Client Solutions (ICS) with all Roadshow related projects.
Understand diverse roadshow products: IPOs, secondary offerings, private placements, non-deal roadshows and bespoke access events for domestic and international markets.
Work within Americas and Global Roadshow Team according to global procedures. Be aware of, and comply with, global roadshow compliance policies and procedure.
Establish a feasible roadshow plan with the originator - ensure roadshow dates and presentations do not conflict with US and global national holidays, major conferences or sector-similar company roadshows.
Prepare budget for upcoming or potential projects when required.
Manage all projects in BuyTheSell
Venue management for group presentations: arrange catering, audio-visual, and monitor attendance list to ensure space accommodates expected clients.
Initiate and maintain contact with client to coordinate all required logistics.
Coordinate all required logistical with onsite travel agent: hotels, flights, private jet. Arrange all ground transportation using the preferred suppliers.
Act as liaison with the sales teams and Access/CCS Advisory/GCM on the level of response for meetings and any changes to the schedule.
Coordinate the distribution of presentation material/prospectuses .
Prepare name tags for group meetings held offsite.
Attend New York group presentations and investor days and maintain an accurate account of attendees
Provide attendance reports for all group presentations.
Close out each roadshow by finalizing all schedules and attendee lists.
Create financial report (final costing) in EventPortal for all projects.
Exercise cost control on all roadshow costs. Wherever possible, negotiate best possible price with suppliers such as group venues, hotels.
Maintain relationship with selected/assigned business areas and be prepared to update the roadshow team on current trends in the business and roadshow feedback.
Bespoke Access Responsibilities:
Save The Date / invitation management: creation, branding and distribution
Client / corporate attendee invitation, registration, confirmation and liaison
Travel services: itinerary management and coordination for any travel requirements. Ground transportation
Logistics: room/venue bookings, food and beverage, translators, coordination of marketing materials and event requirements
Management of onsite process for Investors Days and group events mainly in NY, but some travel may be required
Financial reporting, cost and budget management
SKILLS AND EXPERIENCE REQUIRED FOR THIS ROLE:
2+ years' experience, working on domestic and/or international non-deal roadshows, corporate access, or relevant experience within investment banking.
Able to prioritize; identify problems and seek solutions promptly
Excellent organizational and communication skills
