About the role

Position Summary

The Healthcare Technology & Operations Intern supports the day-to-day operations of the private practice by assisting with client intake, practice management systems, workflow automation, and administrative processes. This internship provides hands-on experience in behavioral healthcare operations while developing skills in healthcare technology, customer service, and process improvement.

Client Intake & Client Experience

  • Respond to prospective client inquiries by phone, email, and text.
  • Schedule consultations and intake appointments.
  • Send intake paperwork and monitor completion.
  • Follow up regarding missing documentation.
  • Assist with insurance verification workflow.
  • Ensure client records are complete before appointments.
  • Provide exceptional customer service.
  • Assist with missed-call text communications.

GoHighLevel (GHL) Administration

  • Maintain contact records and pipelines.
  • Create and edit forms and surveys.
  • Assist with workflow automation testing.
  • Build and update email and SMS campaigns.
  • Apply tags and segmentation.
  • Maintain appointment calendars.
  • Assist with reporting dashboards.
  • Monitor automations and troubleshoot issues.

Practice Operations

  • Maintain digital filing systems.
  • Create and update SOPs.
  • Develop checklists and workflow documentation.
  • Support provider onboarding.
  • Prepare operational reports.
  • Organize forms and templates.
  • Support operational improvement projects.

Technology & Process Improvement

  • Identify workflow improvements.
  • Test new software features.
  • Assist with AI implementation projects.
  • Document new workflows.
  • Support technology implementation.

Marketing Support (As Needed)

  • Assist with newsletter distribution through GHL.
  • Update clinician profiles.
  • Support website content updates.
  • Maintain referral databases.
  • Assist with event preparation.

Qualifications

  • Currently pursuing a degree in Healthcare Administration, Business, Psychology, Public Health, Health Informatics, Communications, Marketing, Human Services, Information Systems, or a related field.
  • Strong organizational and communication skills.
  • Professional, detail-oriented, and able to multitask.
  • Proficient with Microsoft Office and Google Workspace.
  • Interest in behavioral health and healthcare technology preferred.
