University Advancement is looking for a highly motivated, reliable, energetic, friendly, customer service-oriented individual to work as an office assistant. The office assistant is responsible for supporting the Office of Donor Services, to include Donor Relations & Stewardship, Foundation Scholarships and Donor Events.

- Provide administrative support to team members within Donor Relations & Stewardship, the Foundation Scholarship Office, and the Office of Donor Events
- Assist with donor engagement initiatives, including the First-Time Donor Program, Loyalty Herd recognition, and Recognition Societies welcome programs
- Prepare donor stewardship materials, including welcome packets, postcards, donor correspondence, and mailings
- Support event planning and logistics by creating attendance files, preparing guest lists, maintaining event records, and coordinating event-related administrative tasks
- Assist with Benchmark Arena donor hospitality events by organizing files, maintaining event documentation, and managing scheduling reminders for event deliverables
- Develop graphics and visual content for print and digital communications
- Gather and organize content for social media, marketing, and donor communications
- Enter, verify, and maintain constituent and event data, including attendance records, CRM identifiers, and post-event reporting information
- Assist with data quality projects, including contact updates, system audits, and database cleanup efforts
- Support project tracking, workflow coordination, and process documentation using Microsoft 365 collaboration tools, including Loop, Teams, and OneNote
- Conduct research and prepare materials for presentations, reports, and departmental initiatives
- Assist with inventory tracking and operational projects, including preparation for donor events and campus-wide engagement programs
- Effectively and professionally communicate with USF donors, students, faculty, staff, and peers via phone and email
- Actively participate in staff training and scheduled meetings
- Work effectively both independently and as part of a team
- Must demonstrate reliability, attention to detail, professionalism and confidentiality

Preferred Qualifications: Previous office experience is preferred. Strong written communication skills are essential. It is imperative that the candidate has strong organization skills and attention to detail. You must be able to perform tasks promptly and professionally with enthusiasm and a positive attitude. Strong organizational, written and oral communication skills and an ability to effectively prioritize deadlines are required. A commitment to quality customer service and an understanding of Microsoft Office (Word, Excel, Outlook) are preferred.
