What You Will Do
The Production Record & Post Audio Coordinator serves as a central coordination resource for Production Record and Post Audio operations, supporting multiple concurrent productions through schedule management, resource coordination, stakeholder communication, workflow tracking, and deliverable management. Working closely with Production Record, Post Production, and Audio teams, this role helps ensure recording, mixing, localization, and delivery milestones are achieved efficiently and accurately.
Responsibilities:
- Coordinate recording, mixing, and post-audio activities across multiple concurrent animated productions and external clients, serving as a central point of coordination for schedules, resources, and deliverables. Balance competing priorities, manage resource availability and project allocation, track charge codes, and proactively identify, communicate, and escalate scheduling conflicts or risks that may impact production timelines.
- Serve as a primary liaison between production, post-production, and audio stakeholders, including recording stages, mixers, sound designers, composers, and external partners. - Exercise sound judgment in prioritizing competing production requests and workflow needs to support evolving schedules, resource demands, and delivery deadlines.
- Manage craft service inventory, office supply ordering, and crew meal coordination to support recording and audio operations.
- Production Record Services:
- Attend each session and run Circle Takes to ensure that the creative’s vision is being tracked as part of supporting the recording engineer
- Maintain master recording schedules and session logistics, communicating schedule changes, updates, and recording requirements to stakeholders and ensuring alignment between production teams and recording stages.
- Manage recording session readiness by managing materials, tracking script revisions, and facilitating communication between production teams and recording stages to ensure accurate and timely session preparation. If last minute adds, work with PDS from show to make sure most up to date script is available
- Talent Relations, including coordinating drive-ons, welcoming talent, and supporting recording session logistics to ensure a positive recording experience.
- Support Production Record Manager, Supervisor, and Schedulers including shadowing them to learn their roles as part of vacation coverage. This includes creating and distributing record memos and record trackers when necessary.
- Post Production Audio Services:
- Coordinate internal mixer and sound designer schedules across Development and Current Productions, working closely with Post Production Supervisors to balance resource availability, production priorities, and delivery requirements.
- Track audio deliverables across multiple productions, ensuring dependencies are met and stakeholders are informed of schedule risks and outstanding items.
- Deliver Audio Stems and final lead sheets to our mastering and localization teams to be used across all territories for both linear and streaming services
- Coordinate the receiving and sending of QC notes to ensure they are being fixed, and redelivered to the necessary teams as part of the final delivery
- Distribute the final picture to composers on each production after air for every episode to help in the creation of music cue sheets.
- Partner with Production Coordinators and Supervisors to review final deliverables and gather music clearance information for Licensed Materials Lists.
