General Notes
Current UT students are eligible to apply. This position is expected to run from October 2026 through August 2027 and may be extended based on business needs and student performance. Both Work-Study and non-Work-Study students are eligible.
Purpose
To support the daily administrative, event, and facility operations of the Thompson Conference Center through office assistance, event preparation, customer service, and special project support.
Responsibilities
Primary Responsibilities
- Maintain the linen room and prepare weekly laundry service items.
- Create and prepare signage for upcoming events.
- Develop PowerPoint presentations for the TCC event reader board.
- Assist with monitoring and responding to inquiries received through the TCC inbox.
- Distribute post-event surveys to clients and event contacts.
- Maintain and organize Banquet Event Order (BEO) and room diagram files.
- Print and prepare weekly parking permits.
- Compile and distribute the weekly TCC newsletter ("The Weekly").
- Monitor the catering inbox and ensure catering invoices are appropriately uploaded and filed in Box.
- Perform biweekly deep cleaning and upkeep of the TCC Mother's Nursing Room.
Additional Responsibilities
- Provide backup support for Mazevo administration, including updates to settings, pricing plans, resources, and other assigned tasks.
- Provide front desk coverage as needed.
- Update and maintain the TCC directory and staff birthday list.
- Assist with social media initiatives, including event photography and content-related projects.
- Assemble and maintain sales kits and promotional materials.
- Create client appreciation and thank-you packages.
- Assist with special projects as assigned, including updates to staff training materials and binders.
Required Qualifications
- Currently enrolled as a student at The University of Texas at Austin.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Ability to manage multiple assignments and meet deadlines in a fast-paced environment.
- Demonstrated customer service skills and professionalism when interacting with clients, guests, and staff.
- Proficiency with Microsoft Office applications, including Outlook, Word, PowerPoint, and Excel.
Salary Range
$15.00 per hour
Working Conditions
- Work is performed in a professional office and event venue setting.
- Position requires the ability to use standard office equipment, move throughout the facility, perform light physical tasks such as stocking supplies and transporting materials, and occasionally assist with event-related operations.
